Finalise & Share Inspections on Mobile 📱
What: Property managers can now finalise, sign, and share inspection reports directly from the Ailo mobile app — no need to return to the office.
Why: Until now, PMs had to go back to their desk to complete and send inspection reports, slowing down turnaround times and creating unnecessary admin. This change lets you complete inspections end-to-end at the property.
How: After completing your inspection on mobile, tap to finalise and sign the report. Your message template is pre-filled from your project templates with merge fields auto-populated — review, edit if needed, and share the PDF in one flow. Sharing adapts to the inspection type: Routine (to investor), Ingoing (to renter with return date), and Outgoing (optional sharing). Any steps completed on mobile automatically mark project actions as complete on web. If corrections are needed, you can void the report from mobile.
Note: This applies to inspections scheduled after the feature release date.
Inspection Layout Templates 📋
What: Agencies can now create, manage, and reuse their own inspection layout templates in Ailo.
Why: Many agencies told us the default Ailo template didn't match how they actually inspect properties. They wanted to configure templates once, reuse them across properties, and keep things consistent across their whole team.
How: Agency admins can head to Settings to create property layout templates (e.g. "3 Bedroom House") built from reusable area templates (e.g. Kitchen, Bedroom). Set a default template that's automatically selected during New Management or Takeover projects. PMs can select or change layouts within a project, and area templates are available in the mobile inspection editor for quick modifications.
Note: Templates lock after the first inspection to protect consistency. Full template updates for already-inspected properties will be considered in a future release.
Smarter Bill Payments & Fund Management 💳
What: We've refined how Ailo handles bill payments and fund withholding for investors, along with a clearer funds transfer experience in the investor app.
Why: Following our earlier change to pay bills closer to the due date, we heard from property managers and investors that the withholding behaviour was causing confusion — particularly around statements showing funds held for bills not yet due, and for minor recurring fees.
How: Here's what's changed:
- Bills are still paid 4 business days before the due date, and we look 30 days ahead (down from ~35 days previously)
- Funds are now only withheld for upcoming bills — recurring fees no longer trigger withholding
- Bills are prioritised over recurring fees at the time of payment, so a small fee won't block a larger bill
- The investor app now uses a familiar accordion pattern to clearly break down wallet balance vs. funds available for withdrawal — no more hidden links

Archive Teams 📦
What: Agencies can now archive teams they no longer need, keeping their team list clean and manageable.
Why: As agencies grow and restructure, old teams can clutter filters and lists. Previously, teams couldn't be removed without moving all associated managements first.
How: Agency admins can archive a team once there are no outstanding actions against it. Ended managements can stay with the archived team — no need to reassign them first. Archived teams are removed from filters and dropdown lists, reducing clutter in your day-to-day workflows.
Longer Rent Frequencies 📅
What: Property managers can now create tenancies with longer rent frequencies, including half-yearly and annual options.
Why: Commercial tenancies often use longer billing cycles that Ailo didn't previously support. This was a gap for agencies managing mixed residential and commercial portfolios.
How: When setting up a new tenancy, the longer frequencies now appear alongside existing options (weekly, fortnightly, monthly). These frequencies flow through to the rent calculator and all relevant areas of the platform.
Personal Account Email Notifications 🔔
What: Updated email copy for tenancies using personal accounts, including clearer payment instructions and bolded invoice references.
Why: As we expand the use of personal accounts to support bill payments, renters need clear instructions on how to reference invoice numbers when making payments — ensuring funds are correctly allocated.
How: Renter email notifications now include clear payment instructions with the invoice number prominently displayed. This is a stepping stone toward wider PayID rollout, enabling faster payments via email address.
