Duplicate Bill Warning
What: When creating a bill, Ailo now checks for existing bills with similar details, matching on payee, invoice number, and category, and shows a warning before you save.
Why: When multiple team members are sharing bill creation tasks, duplicates were occasionally being created without anyone realising. This warning catches the issue at the point of creation, saving time on cleanup and reducing errors in your accounts.
How: Create a bill as you normally would. If Ailo detects a bill with similar details already exists, a warning will appear. Review the existing bills before deciding whether to continue, giving you full control over what gets saved.
Realworks Moving to Agency Edge - Your Forms Are Protected
What: REIQ is migrating Realworks to a new platform called Agency Edge, with a hard cutover on 30 June. Ailo is integrating with the new platform ahead of this date. As part of this work, Ailo now stores a backup copy of all completed form PDFs, has a fallback so forms remain accessible even if the provider is temporarily unavailable, and agencies can now connect multiple forms accounts.
Why: The Realworks platform is switching off at the end of the month. Without Ailo integrating with Agency Edge, QLD agencies would lose access to forms directly from within Ailo. Ailo has backed up your completed forms so you do not lose access to past documents during the transition. The ability to connect multiple forms accounts is particularly useful for agencies working across multiple offices or states where a PM might have more than one account.
How: On 29 June, when you open Ailo, you will be prompted to reconnect your forms account. An in-app banner will guide you through what to expect and link to a help article with step-by-step instructions. No action is needed before then, Ailo is handling the integration work. Note: the new Realworks platform does not support tracking the progress of individual signers as the current platform does. You will still be able to see whether a form has been completed and signed or not.
Bond Claim Grace Period
What: When bond claim funds received do not match the expected amount, Ailo now holds those funds for one business day before returning them to trust, giving property managers time to resolve the mismatch themselves.
Why: Previously, mismatched funds were immediately bounced to trust, which required PMs to contact support to resolve. Most of these mismatches are resolvable by the agency directly. The extra day reduces the need to raise a support ticket and puts control back with the property manager.
How: If there is a mismatch, you will receive a "Funds received" email with the amount, transaction details, and a deadline. Update the transaction number in Ailo before the deadline to match the funds and complete the claim. If the mismatch is not resolved in time, the funds will be returned to trust and a support ticket will be raised as usual.
This pilot is currently available to all ACT and Tasmania offices, plus the original NSW, VIC, and QLD pilot agencies. Further state rollouts are coming soon.
