How Siebritz is building a thriving business around the customer experience

Less than a year in, Siebritz on the Gold Coast has 170 managements. Jacinda Pearse has set Ailo up so every owner, renter and trade stays in the loop as they grow.
Jacinda Pearse has twelve years of property management in her head, and she is busy putting it somewhere the rest of the team can reach. At Siebritz in Oxenford, on Queensland's Gold Coast, the rent roll sits at around 170 managements. The business has been open less than twelve months. Around 100 came through organic growth, and a rent roll purchase of 60, with a handful still coming online. Growth like that usually forces a choice between service and scale. Jacinda refuses that choice.
Previous team members had worked on a legacy system. The move to Ailo was about the owner wallet, the way clients can reach their funds when they need them, and the transparency and automations that let the office work smarter. For Jacinda, smarter means the templates: the order of things she already runs in her head, written into the system so the click-through matches twelve years of practice.
“Going through all of the templates and running the flow of what works in my head as a property manager from twelve years of experience, to what I need the system to do to click through those automations so that it's getting done as quickly as possible.”
— Jacinda Pearse, Senior Property Manager, Siebritz
That efficiency is only the middle of the story. What she wants on the other side is owners, renters and trades who always know where things stand. Chasing a trade means a status check for the trade and, in the same breath, an update for the renter. Constant contact is how Siebritz keeps the people who chose them.
“Communication and lack of is what is the root cause of most clients choosing to leave because the systems and the steps aren't in place to actually keep that ongoing contact, so everyone knows what's going on. So that is one of the main things that sets us apart from other agencies because we want to make sure that regardless of the size of one hundred and seventy to three hundred, that comes in has the right foundation set in the templates for all the projects. To do it the same way, to continue to deliver on the promised service that we said we would do.”
— Jacinda Pearse, Senior Property Manager, Siebritz
Ailo Projects and Ailo Actions are how that foundation holds. Each Project is a body of Actions: customisable steps with due dates that adjust, work that can be delegated and logged. Jacinda's brief is blunt. Take what is in her brain and put it in there, so anyone working the Project goes through the motions she would.
“It's more around the efficiencies of the template actions and flowing through. What would work in my brain and the order of things, procedure-wise. From my experience to what I need the system to do. In other words, take from my brain and be in there to go through the motions of the actions inside the project.”
— Jacinda Pearse, Senior Property Manager, Siebritz
Asked if the target is four hundred, five hundred or a thousand, she said bigger than that. The optimism comes from leadership above her: room to grow the department, and support on the harder days of a job that can feel thankless. With templates focused on customer updates for everybody, new team members inherit a standard instead of inventing one. Some clients want an extra phone call. Others want email or a chat through Ailo. The foundation is already there; the tweaks come as the team grows.
That is the bet Siebritz is making early. Build the communication into the work before the rent roll outruns the people, and keep Jacinda's twelve years available to whoever opens a Project next.
