Carolyn Norman is the Senior Property Manager and BDM at Ray White Windsor. She spoke to us about how Ailo has helped her team attract great staff by changing the way they work.
Some of the challenges when I took over was older software. It was a more paper based business than a cloud based business.
I was attracted to Ailo because it was a one-stop-shop. Everything is in the one system including trust accounting, repairs and maintenance, booking your inspections - All that sort of stuff was all in there.

How has Projects changed the way you work?
The team works differently in Projects because we can set a project for our team admin person to do lease renewals. We used to have a file on her desk with a piece of paper with everything written on there but now that’s all done in Projects. Now it can be assigned to her and I can see where she’s at with it.
If something happened to me, if I was off sick or on a holiday or if anyone else was away it’s all there and it’s easy to see.

It doesn’t matter what you’re saying, you can tell when someone is feeling negatively or unhappy. Ailo has definitely helped with that.
My stress is a lot less because I haven’t had to recreate all these checklists and bits and pieces that I thought I was going to have to do. We’re able to do all our auditing a lot easier.
It’s been awesome.
I’m going away soon for a few weeks and I don’t need to worry that I’m going away during end-of-month. I know that if one of my owners calls about a repair my team can quickly jump on and have a look at the Projects that I have open for my repairs and tell the owner exactly where everything is at.
Has Ailo helped you recruit staff?
I found Ailo helped me attract our receptionist who had previously not wanted to be in property management. She had been approached before to be in property management but she didn’t want it.
When I came in I wanted a system that would relieve stress - I’ve actually found the team was quite stressed and no one wants to work in a stressed office, they just don’t!
Once I introduced Ailo my team were excited about the changes, they were excited about Ailo because I was so excited about it! In turn our new receptionist was excited about being part of the growth we were all working towards. The energy from the team attracted her and she came to all the Ailo training days with me and has been instrumental in implementing it in the office.
They had implemented the program ‘Monday’ in the office which is a workflow program and the boss came to me and asked me if we were going to use it and I said “No, we don’t have to. We don’t need it because Ailo does it for us!”
