Ailo Holdings Pty Ltd (ACN 608 601 485) and its related bodies corporate, including Ailo Pty Ltd (ACN 603 174 714) and Ailo Pay Pty Ltd (ACN 621 914 163), (Ailo, we, our, us) are committed to managing personal information in accordance with the Australia Privacy Principles (APPs) under the Privacy Act 1988 (Cth) (Privacy Act) and recognises the importance of the rights of individuals in relation to their personal information. This document is our Privacy Policy and it tells you how we collect, use, disclose and manage your personal information.

What is personal information?

When used in this Privacy Policy, the term 'personal information' has the meaning given to it in the Privacy Act. In general terms, personal information is any information that can be used to personally identify you. This may include your name, address, telephone number, email address and profession or occupation. If any of the information we collect personally identifies you, or you are reasonably identifiable from it, it will be considered personal information.

What personal information does Ailo collect?

If a PM Company uses the Platform as a tool to manage their business, then the real estate company will upload personal information used in the ordinary course of their business, about their employees, service providers and clients; including property investors, property owners, applicants for rental properties and renters. The PM Company controls this personal information. For more information about how your PM Company uses this personal information, you should review its privacy policy.
If a Service Provider uses the Platform as a tool to manage their business, then the Service Provider will upload personal information used in the ordinary course of their business, about their employees, service providers and clients; including property investors, property owners, and renters. The Service Provider controls this Personal Information. For more information about how any Service Provider uses this personal information, you should review its privacy policy.
The Platform may be used to process this information.
If you are a renter, property investor or property owner and your real estate company uses the Platform to help manage its business, then you will be invited to access the Platform and become a Platform user. If you choose to become a User you will agree to Terms of Service.
From Property Investors, Property Owners, Applicants for rentals, Renters & Service Providers
If you, or your employer, does business with us or has other dealings with us, we may collect information about you to facilitate those arrangements. This information may include your name, position, contact details, and any other information you provide.
If you are a user of the Platform, we collect personal information about you to enable you to access and use the Platform, verify your details and make use of services offered via the Platform. This personal information may include:
  • your contact details, such as name, address, email and telephone number;
  • identification information, such as your date of birth;
  • your nominated credit card and/or bank account details (when you use the Ailo Pay service provided through the Platform (including through external payment facilities providers) and used by you to make payments to a Payee or collect payments from a Payer);
  • information about your use of the Platform (for example, the relationships and interactions you have with other users, and the payments you make and receive); and
  • other data you share, upload or create when interacting with the Platform.
From PM Companies
We collect personal information from PM Companies including -
  • Owner’s or Principal's name and email address
  • Name of Licensee in charge, email address and licence number
  • Full name and email address of primary migration contact
If you are an employee or job applicant
If you are an employee or a job applicant, we collect information about you to administer your employment or process your job application. This may include qualification and identification information, residency / visa status information and results from records checks. If you are offered a position, we may also collect details such as your tax file number and bank account details. Generally we collect this information directly from you.
Other collection situations
If you access and use the Platform or our website, make an enquiry, for example via email or phone, enter our competitions or promotions or complete surveys, provide feedback or make a complaint, we will collect any personal information you supply during the interaction in order to allow access and use, respond to the enquiry, run the competition, promotion or survey and respond to any feedback or complaint.

Can you deal with Ailo anonymously?

You have the option of not identifying yourself, or of using a pseudonym, when dealing with us in relation to the following matters:
  • When you browse the website, we do not collect your personal information; and
  • You can make a general inquiry without providing your personal details by telephone.
The option of remaining anonymous is limited given the nature of information needed for us to provide our services to you.

How does Ailo hold information?

The Ailo Platform is a cloud based platform and stores information, including personal information, electronically in secure databases. We do not use paper files as our primary storage mechanism. When we receive a paper request or form (for example a Direct Debit Authority form returned to us by renters), we record any relevant data (including any personal information required) into the Platform, scan the paper document and securely destroy the paper version.

How and why do we collect your personal information?

Wherever possible, we collect personal information directly from you.
If you are a User, we will collect information from you about you during the Platform registration process and when you contact us. We also collect information about you when you interact with the Platform and when you interact with other users on the Platform.
Other purposes for which we use your personal information are as follows:
  • to facilitate your usage of the Platform
  • to answer enquiries and provide information to you;
  • to assess the performance of our website and mobile applications and to improve their operation;
  • to undertake analytics activities for the purposes of determining which of our products or services might be of interest to you; and
  • as otherwise required or authorised by law.
We collect general information about how our users use the Ailo Platform and use it to create insights for you and other users. These insights, however, are always aggregated and anonymised – we do not commercialise, share (without consent) or sell your personal information to third parties.

What happens if we can't collect your personal information?

If you do not provide us with your personal information, we may not be able to provide the requested products or services to you, either to the same standard or at all and we may be unable to tailor the content of our websites and the Platform to your preferences and your experience of our websites and the Platform may not be as enjoyable or useful.

How does Ailo use and disclose your personal information?

Ailo does not share your personal information unless, within the context, you direct or authorise that sharing. For example:
  • if you are a renter, and you use the messaging feature in the Platform, then you may share information with your property manager through a message.
  • if you are a property investor you may choose to set up your accountant to receive financial statements
  • If you are a property manager you may choose to offer a property compliance solution to your property investors and facilitate that offer and service delivery through the Platform
In these, and other cases, Ailo is not the initiator of the sharing of the personal information, and the Platform facilitates the interactions. Outside these and similar cases, Ailo does not share users’ personal information with anyone, without consent or unless required by law.
We may combine, aggregate, analyse and share personal information that we collect from you with information collected by any of our related bodies corporate.
We may disclose personal information to:
  • a related entity of Ailo;
  • an agent, contractor or service provider we engage to carry out our functions and activities, such as our lawyers, accountants, debt collectors or other advisers;
  • organisations involved in a transfer or sale of all or part of our assets or business;
  • organisations involved in managing payments, including payment merchants and other financial institutions such as banks;
  • regulatory bodies, government agencies, law enforcement bodies and courts;
  • financial product issuers and credit providers; and
  • anyone else to whom the individual authorises us to disclose it or is required by law.
We may also collect personal information from these organisations and individuals, and will deal with that information in accordance with this Policy.
Other organisations that are contracted to provide services to Ailo may also receive, compile and store personal information on our behalf, without acquiring rights in or to the information. These include:
  • Auditors – that are required by law to review Ailo accounts for compliance with accounting standards and internal controls;
  • Regulators – that monitor compliance with legislation such as the Australian Taxation Office (ATO), the Australian Securities and Investments Commission (ASIC) and AUSTRAC (where disclosure is required by law).
Information released to the above and other organisations is kept private and secure. Unless disclosure is required by law, we ensure parties who receive information about participants have appropriate systems in place to comply with applicable privacy laws before permitting them to handle information.

Does Ailo use Personal Information for direct marketing?

We may use your personal information to provide you with offers for products and services. These communications may be sent in various forms, including via mail, SMS and email. Any communications will be sent in accordance with applicable marketing laws, such as the Spam Act 2003 (Cth). You may opt-out of receiving marketing communications from us by contacting us at any time at the contact details below, or by using the opt-out or unsubscribe facilities provided in the marketing communication themselves.

How can you access and correct your personal information?

You may request access to personal information Ailo holds about you at any time by contacting us at the contact details below. This does not include all personal information stored about you in the Platform which may be personal information collected by a PM Company or a Service Provider which is not personal information that can be shared with you by Ailo. Enquiries about that personal information should be directed to the PM Company or the Service Provider that collected it.
Where we hold information that you are entitled to access, we will try to provide you with suitable means of accessing it (for example, by mailing or emailing it to you). There may be instances where we cannot grant you access to the personal information we hold. For example, we may need to refuse access if granting access would interfere with the privacy of others. If that happens, we will give you the reasons for any refusal.
If you believe that any personal information we hold about you is incorrect, incomplete or inaccurate, then you may request that we amend it. Once an amendment request has been made, we will consider if the information requires amendment. If we do not agree that there are grounds for amendment, then you may request that we add a note to the personal information stating that you disagree with it.

What is the process for complaining about the handling of your personal information?

If you believe that your rights in relation to personal information have been breached, please contact us using the contact information below and provide sufficient details of the incident to allow us to investigate it. We will deal with the complaint in accordance with our Complaints Handling Procedure.

Do we disclose your personal information to anyone outside Australia?

We store all data securely in Australia. However, to operate our business we sometimes use the services of third party IT service providers located overseas. This means that third party IT service providers located in the other jurisdictions may at times have access to your personal information so that we can continue to provide our product and services.
