Denice Sorono joined Ray White Rural Warwick with no real estate experience at all. Rural agencies often have trouble finding experienced candidates given the smaller populations, so hiring fresh and training from scratch is common.

But becoming a property manager from scratch can be challenging - it’s not an easy job to learn! For Denice, usually confident and capable when using new technology, getting to grips with the legacy property management systems was the hardest part of her training.

“It just got very confusing at times with all the different tabs and everything,” she said. “The jobs tab, the inspections tab, the properties tab. Everything was so… everything was everywhere.”

It’s easy to think the solution is more training. The reality is - it’s actually the overcomplicated systems that are the problem. The tools you use are supposed to support the job and aid learning, not make it harder. It’s a symptom of unintuitive software, not an under-trained team.

Despite the complicated systems, Denice managed to get herself trained up. Then, one day, the agency decided it was time for a change. “Our business owner, Sally, thought this is a really good time to bring Ailo to Warwick,” said Denice.

They were thinking about updating their systems, so Denice was asked to attend a workshop in Brisbane to find out more about this new kind of property management system that everyone was talking about and report back to the office.

Heading into the workshop, having just spent all this time learning the first system, Denice certainly had her doubts about changing to another one.

But as the day unfolded, as she saw a version of her job without all the trust accounting getting in the way, she changed her mind.

“Seeing the rent payments being made as soon as possible… you didn't have to wait and do the bank reconciliation,” said Denice, in disbelief. “If someone was in arrears and then they paid on that day, it disappeared, which was amazing.”

The idea that rent could flow in, fees be deducted, and disbursements flow out – all in a single, automated motion with no administration – takes a minute to sink in. “No receipting rent payments,” she said. “No end-of-month; it’s just done for us.”

Then Denice saw something she wished she’d had as a new property manager: projects in Ailo.

“I'll be honest, I feel like we've been on Ailo from the very beginning with just how smooth it's all going,” said Denice. “We've just had a receptionist start at the beginning of the year and she actually just made a comment today saying ‘I don't know how you ever used your old property management system because Ailo is so easy!’”

Denice is now better equipped to deliver a great service and continue developing as a property manager. She has all the information she needs to communicate with her rural customers and get her work done without headaches.

“It's so much more aesthetically pleasing… I was thinking about this yesterday actually. In our old system, for your routine reports, to physically go back and have a look at the previous one you have to go to a whole different tab and search for it manually,” explained Denice. 

Are you glad you became a property manager?

“Yeah! It has definitely been a learning experience. A lot of hurdles that I've had to cross, but I'm glad I became a property manager. And I'm glad I get to use Ailo, too,” she laughed. “It's really good!”

It's not about shiny pennies – it's about being better

Our resident property manager Juliette Hughes recently sat down with Katelyn Beard from

‘How has Projects changed the way you work?’

Since moving to Ailo and using Projects it’s just… mind blowing.

Everything is there and it’s assigned to somebody, it’s allocated. Even the fact that you can customise, it is fantastic.

I’ve been off sick since Thursday and only yesterday did I log back in to look at my Projects and I can see my leasing agent has been on the ball.

Things are getting done and I don’t have to stress. Without Ailo I would have come back in and my head would have been all over the place knowing that I’ve got so many things on but it’s just up to date.

I actually had Covid recently and it (Ailo) gave me peace of mind coming back to work knowing that Lara, my assistant, could just go in there and sort out the Projects. Just not having the stress of all the lists and pieces of paper for maintenance since it’s all done in the chat now it’s nice and easy.

I can see my lease renewals, there’s a screen for that. I can see how many properties I’ve got vacant and how many I’ve got under management. It’s a real game changer that you’ve got everything in one spot.

Our office is really liking the chat feature. A lot of our tenants use the chat feature to just say “Hey, my oven isn’t working” and we can just quickly reply “Ok, we can get onto that for you today”. It’s just nice and easy.

Our arrears are pretty much at zero percent since we have come onboard with Ailo which is just a game changer for us. We literally only have one person in arrears today.

Our tenants get a reminder now to pay rent through the app and they now know that the owner can see that they’re paying and we can see what they’re paying so there’s no more saying they have paid when they haven’t.

It’s especially good for holding deposits for places that we’re leasing.

We used to send text messages, we used to do the email template ‘you are this many days behind in rent, please pay to our trust account’. We would call, we would phone tag with people telling them how many days they were behind and asking them to call us back. There’s just none of that.

Katelyn, I know when you came across to Ailo your office had also just gone through an acquisition so you had two rent rolls coming together. Tell me about that experience.

It was a very chaotic one that’s for sure!

We acquired the rent roll in October and we didn’t actually transition onto Ailo until November/December so we actually had to transition them to PropertyTree and then transition them again. The rent roll that we purchased was actually an older school rent roll so it was a lot of tenants that had been on there for donkey's years and a lot of landlords that had had these properties forever. They were used to all their communication coming via the letterbox so to get them to sign onto Ailo was definitely a challenge at first. We had to really go into detail with them about who and what Ailo is and work with them. It was a challenging time at first but with our rent roll, the one we had grown ourselves, it was a lot easier as they are a different generation of tenants.

What are you using in Ailo that helps you do your work given that you’ve got such a variety of profiles on your books?

If I could do it again I would probably host an event with our clients to help them get onboard. Give them an opportunity to chat with us so we can tell them the benefits of Ailo and tell them the options if they decide not to use it.

A few of our landlords have just told us what they want and we’ve been able to jump in and set it up for them.

We’re now fully using emails. Our tenants are responding to emails from Ailo and they’re communicating through the chat. Having all the information there has changed a lot.

We still have a few of the older clients coming in to tell us about maintenance but we’re being able to tell them ‘there is an easier way’ rather than coming all the way down to our little Mittagong office.

Technology doesn’t replace the relationships. It helps everyone get what they want without property managers having to do all the legwork. Do you agree?

We’re definitely seeing the sun at the end of it. The clients are really appreciating it. There are just so many ways they can communicate with us now.

The owners can see absolutely everything about where their tenants are up to - There is no hiding anymore and it’s just incredible that they can see absolutely everything.

We were the same as what Katelyn said. Some tenants took to it straight away whilst others are paying through the app, but not on the app.

Just this morning I had a conversation with a tenant who was in arrears and he said “how can I see when I am in arrears” and I was able to say “if you get yourself on the app you can see!”

Since being on Ailo I’m not having to have call tenants or landlords about arrears, repairs, or any of the little things because it all comes through chat. I can get a little notification on my phone - it’s fantastic.

I’ve been away for four days and there was a massive repair that came in and my team were able to deal with it straight away.

It’s amazing how something as simple as chat can change the way that we work. No more of the big long emails we used to write. All that waiting time after asking for permission then waiting for a reply - it’s just gone. Has that been your experience?

I had a landlord who was against Ailo thinking that it was some kind of conspiracy and the month that we moved over to Ailo they got their end of month statements and we got a message through Ailo saying: “Thank you so much, I love that I can just go in and not have to bother you and I’m able to see not just my statement but where the tenant is paid up to.” He’s just one of those old school, elderly people that would prefer to get on the phone but given the fact that he can now get onto Ailo and check these things by himself - it is a game changer.

I hear from some property managers that some of their clients don’t have email and won’t give us one and once they move onto Ailo they suddenly say “here’s my email address, I want to get on!” Carmen’s nodding, did that happen to you?

We had people who thought it would be a security issue and were nervous to download Ailo. We would call them and tell them it is a lot more secure than our previous system and it’s going to be better for you to have access to your Ailo wallet with your funds so you can take them out when you want them.

A lot of our landlords are old school and didn’t like change so it was just about letting them know the benefits to them to get them across.

I want to ask each of you - what you do with the extra time Ailo has given you or the team?

We are going into prospecting, we follow up on our appraisals, we attend seminars and events like this one to help us grow as property managers and learn more. We just smile and laugh more.

End of month and mid-month was really stressful to us because we were still writing out cheques and not just a few cheques! We were writing out lots of cheques and for us to not have to do that now is just huge. We don’t dread ‘end of month’ because it’s already done - Ailo does that for us and produces a statement for our owners. What more could we want really!

I love that you just said ‘smile more’. So you’re having a better time at work?

With the time that we have we actually spend it communicating with landlords - which I know is a funny thing to say because Ailo does it for us. Being able to have the flexibility to just pick up the phone and check in with clients and manage those relationships is the biggest thing for us.

In our agency we’re all very different property managers, we all do things differently so having that freedom and flexibility to be able to communicate with clients, spend more time at ingoings and outgoings, talking to tenants at routines and not constantly having to check your watch and being in a rush.

I think that’s the best thing about it - Having the time back.

How have you found customisable workflows with Projects helped your property managers work slightly differently?

One of the best things about Projects is that you can customise the Projects to each individual property manager. If you were to log into our Projects you would see that whilst my coworker and I have the same task to do, Ailo caters for us to do those tasks the way we prefer. We still obviously have the same principles but we like to focus on different aspects. I think that being able to customise for different property managers is essential. Not just having a ‘one shoe fits all’ because it definitely doesn’t.

We all put our little sparkle on it that’s for sure!

Leaving the office! Going to have lunch or a coffee. Meeting up with people in the area. I’ve been here nearly ten years and people see my face out on the board at the front office but that’s it. When they come in they say “you do exist! There is a Dina here!”. More time to be able to do that. I’ve never had that time before.

Dina, how has Ailo shifted your thinking and feeling towards your role?

I was at my wits end, very stressed and under the pump. I wasn’t getting the support I needed. I look after part of the commercial as well, so doing mid-month, doing end-of-month in PropertyMe, doing repairs, doing maintenance - It all became too much and I handed in my resignation.

I thought about it and I thought about it and I just thought - I can’t do this anymore. (My resignation) was put on hold because I was asked to attend the PropertyMe conference, which I did. We came onto Ailo a week after we came back from the conference and I’m still here.

It’s just changed everything. I’m a lot calmer and I can think better. Someone can come up to me and have a conversation without me biting their head off.

What would you say to a property manager who was looking at bringing Ailo into their agency?

Just do it! You won’t be as stressed and it’s going to benefit the whole business as well.

It’s a game changer and that’s being completely honest. From what we were using before to Ailo - I wouldn’t change a thing.

I wish I had this when it was just me as a property manager but I’m very thankful that we have it now.

I’ve used Rest and Console in other offices but in this office we were using Palace which I hadn’t used before. But we made the switch and look at us now. Our owners and tenants are on the app and you can actually pull up a report through Ailo of who is on the app and we’re always surprised that people we thought weren’t going to be on the app do jump on.

Dina, how did you find your onboarding journey?

Most of my landlords were easy. New tenants were easy to get on. Some tenants didn’t understand the fee free option but once we explained what it was and how it works it was all good.

In the beginning of onboarding we had a few hiccups but it’s just smooth sailing now and we love the reports to help us keep track of transitioning.

Can you tailor Ailo to what your office needs?

There are a few different ways that you can tailor Ailo for you. You can be set up in pods, teams, portfolios - It’s designed to be set up for any type of structure. Beyond that you can tailor all of the Projects. You can decide how many steps you want to have and create a Project for anything you want. Baked into Ailo we have all the standard Projects for inspections, repairs and maintenance, new tenancy, new management and everything, all fully customisable and ready to go and then we have something called ‘Custom Projects’ and you can any flow you like and you can integrate reminders, messages, and forms. It really gives you the freedom to tailor and create procedures for your office with everything you do so everyone is following the same process or to cater for different styles amongst your team.

I feel like being able to get a bird's eye view of what you’re doing day to day then going straight into the details is like a genuine superpower of Ailo. Plus you can track it all and get a handle on what.

We sat down with George Southwell, the CEO of 

 to talk about how Ailo has helped him find his agency's point of difference. 

We’ve got a very unique community. We’ve got about a thousand properties under management in our market. What we need is not new property managers, not new energy from people, we need better property management. That’s what Ailo provides to us via the systems, the communication and mainly the refreshing way for people to be able to pay and receive their rent. That seems to be very powerful and our landlords have taken to it like a duck to water.

How has Ailo helped with staff recruitment?

We struggle to compete with the Canberra jobs market that is only 45 minutes away. Our recruiting strategy was quite unique by being… the same as everyone else!

Put out the ad, get the applicants, have a cup of tea with them, see how they drank their tea and what that led to and we would have a conversation with them about what we could bring them as an office and as a leader in a business. It was exactly the same as anyone else.

So what we then led into was taking Ailo on board. It meant we could use Ailo as a recruiting strategy.

I would encourage people to explore Ailo.

Get in, have a chat, they’re the most amazing team. It’s pretty refreshing and a little bit hip but they’re great people and they’re literally a phone call away. The tech team is amazing and our support with Gabi, Benj, Liz and the team has been amazing.

Ailo as a point of difference in recruiting staff

A seasoned property manager, Emma Blake has been helping investors manage their rental properties and tenants find great homes for over two decades.

But when she found herself doing end-of-month the day after her daughter was born, she thought to herself ‘this isn’t the life that I want’. And so in 2017, the team at Ray White Pittwater Property decided to sell their rent roll.

“I was sick of doing all the accounting side of things. You’ve got the constant stress of keeping yourself and your properties compliant, all the while you’ve got piles of admin just to keep the trust account balanced and the business running,” she said.

Getting back on the horse: you own the rent roll, it doesn’t own you

In 2019, Emma decided to try again – but with a vision of doing things differently. She co-founded Ray White Pittwater Property with the goal to build a profitable rent roll without being taken hostage by it.

“We didn’t like the idea of buying a rent roll, because you also buy the associated problems that come with that,” she said. “So it grew organically from the start.”

But progress was slow. Organic growth yielded better managements, but it was hard to get momentum.

The next big thing in property management technology

, she stumbled on a different kind of property management.

“I was helping coach the property manager there, and she started using Ailo,” said Emma. “It’s a digital-first approach to payments and accounting, with less risk. The landlord can be paid anytime from the click of a button on their phone.”

Instead of only paying into a trust account, renters also had the option to pay through Ailo via direct debit, credit card or debit card. Management fees were deducted automatically, and the remainder went straight to the investor within minutes of the payment clearing.

By minimising the dependency on the trust account – and all the receipting, reconciling, manual disbursements, and end-of-month admin that goes with it – she could see how Ailo was breathing new life into their team.

“I saw what it did for their business, and I thought ‘that’s exactly what I need, too’,” she said.

It was the final piece in the puzzle for building a better rent roll without all the baggage she was trying to avoid.

Finally she could own the rent roll, and not be owned by it.

It didn’t take long to see the same benefits unfold in her own business.

In addition to more consistent cash flow, her clients also love being able to access their funds within minutes of a tenant paying rent and check in on how their property is doing at any time on their app.

“The sooner they get their money, the less it costs them interest which is important for our clients in the current market,” she said.

“The daily questions I used to get from landlords like ‘can you send me a copy of my statement, or ‘has my tenant paid yet’ – they don’t need me to do that anymore. They can just get it off the app.

“Those little things add up to a lot of time back.”

“We’ve come back to property management in the last 12 months, and it’s been great. I don’t have those headaches anymore,” said Emma. “And that’s only really because of Ailo to be honest.”

Emma is confident she won’t be missing any more time with her family or growth in her business.

We spoke to Emma while she was on her boat with her family enjoying another beautiful sunny day in Pittwater. Her new approach to property management is already giving her back that time to go out and enjoy life outside of work, too.

Building a rent roll worth owning

, tells us how his property managers have dramatically increased their capacity with Ailo.

We’re working in an age where everyone expects things now. It’s a ‘now’ generation.

If you order an Uber you expect it within five minutes and the generation doesn’t differ in what their expectations are in real estate.

Previously we were using a server based system which was about 25 years old. It wasn’t good for our staff or our clients. By making the switch to Ailo we’re able to generate something that’s a bit more modern. I’ve been calling it a ‘modern facility’. It allows our customers to be interactive in their app, it allows them access to their funds and to run their finances a lot better.

I think it offers us everything we’ve been looking for.

Our experience in Ailo is that our success rate has increased dramatically.

We’re able to win a lot more listings from having Ailo as a point of difference from other agencies. The landlords really enjoy having the ability to see their money and access their money instantly. The flexibility for them is amazing and that’s what they really enjoy the best.

Ailo has played a massive role in that shift. It allows our staff to actually be happy in what they are doing. Again, we were on an older system where they were really bogged down and the system crashed a couple of times a week. So having something that’s modern and easy to use and makes our communication with our customers so much easier makes them happy too.

If they’re happy in the office they want to come to work and they want to enjoy what they do and that improves our culture as well.

Our team has saved a lot of time. It’s probably brought back about 30% capacity in each individual and that has allowed them to offer better service to our customers. Obviously they can now take on more properties as individuals as well but having a happier team gives us more capacity as well. It allows you to grow your business without having to put more staff on.

It makes their life so much easier and allows them to do things more efficiently and communicate more efficiently with our clients and that’s the main thing.

Property management for a 'now' generation

Catherine Wells, the Senior Property Manager at 

 tells us how Ailo has helped her team with arrears and improving relationships with tradespeople.

We’ve got a team of five which we are continually growing and we are managing about 280 properties at the moment which has grown quite significantly since using Ailo.

‘Ailo is an absolute game changer’ is a common phrase we use with the system. Productivity is just so much better in the office. We’re finding that we’re cutting off two hours a day doing arrears chasing which has increased productivity massively.

They absolutely love the system. It’s just so easy to use and we’re all a bit happier as a team because it’s just such an easy system to get stuck into and get started.

So, we had this one tenant who would occasionally fall behind on their rent in the old system and we constantly had to make phone calls to them. They just did not realise they were in arrears until we let them know. Now they have Ailo they can see on their app where they’re paid to and they can sit at the pub at two in the morning paying rent and that’s great as long as the rent is paid!

When we get phone calls for new business one of the main questions we get is “how are your relationships with tradespeople?”

People know that in a small area it can be hard to get good tradespeople and we can say “We’ve got amazing relationships because of Ailo” and we can run them through why.

For tradespeople to get paid quickly in a small community means that they can get paid straight away and not be out of pocket. So, we’ve built really strong relationships with certain tradespeople who are choosing to work with our agency over other agencies in the area.

'Ailo is an absolute game changer'

 (and her agency principal Elia Economou for the first bit!) to talk about how Ailo has revolutionised her working life.

How has Ailo helped keep you invested in real estate?

 Since starting with Ailo, it has cut a lot my time in half with Projects.

For instance, when I’m completing a new tenancy from notifying the tenant - Ailo does it all. You can see from the beginning to the end and assign the project to anyone in your team from a leasing assistant to a property manager.

How did you feel when you found out your agency was moving onto Ailo?

I’m not one for change, I don’t like change. The software that we were using prior to Ailo took us a while to move onto and we were with it for a few years. Now that we’re with Ailo - I wish we started earlier. It’s fantastic.

It was a bit of a challenge getting Dina on board with a change the second time. Having done it once before with a different software solution doing it again within a short period of time - It wasn’t easy!

We had to go through baby steps to convince Dina and the rest of the team that it was the right thing for us.

I wish it was around 5 years ago because Dina would have grown our business five times more than what we have done. It has given us opportunities because it has freed our business up to focus on opportunities rather than micromanaging processes.

 I definitely agree. It has freed up my time a lot.

From beginning to end I have more time and I don’t go home stressed. I can clock off at the end of the day and not have to worry about what I have to do tomorrow. I’m not making notes in bed because I can see everything I need to do on my screen.

 Leave the office! Go for a walk, go and have lunch! Because before I was so consumed with getting all the work done in a timely manner I would just eat at my desk. Our whole team would do that.

Now, every Friday we sit and have lunch as a team and that is not something we could do before.

Tell us about your experience recruiting right now?

 Recruiting is definitely hard in this day and age for whatever reason. I don’t know why, it might be because of Covid or changing legislation making it harder. We had been looking for staff for six months and we have now employed two juniors. One of them is a leasing officer and she is really good. It’s her first real job in real estate and we gave her a chance. When she started we were using another software but once we started using Ailo she transitioned across to Ailo and has found it easier to use than our previous software.

What about Ailo gave you the confidence to hire and invest in junior team members?

For younger people they just find it really easy to navigate from the training to actually using the product. Plus, the support is second to none. You can email them, you can chat to them live which works really well. They are responding quickly and they solve the problem. I haven’t had any issues with Ailo they haven’t been able to solve.

What is your team culture like now compared to when you were on the legacy system?

 I’m one of those people who stresses when a job isn’t done but since moving to Ailo I’ve been completely calm. Projects has really helped. You’re able to see where you’re at with each Project because there’s steps that can be discussed with the staff very easily.

Ailo has changed my life. I’ll tell you a story.

I have been in real estate for 30+ years (I started really young) and I have been in this office for nearly ten years and I’ve been doing it on my own due to our struggle to find staff. I handed in  my resignation just after Christmas. Elia (principal) was very upset and initially thought it was a joke. He put my resignation letter to the side and he said “please reconsider, let’s go to PMC and see if Ailo is right for us and we can have a chat after that.”

We came back from PMC and I’m still here.

Real estate has been my life for the past thirty years. It’s not that I was afraid to move forward but I could see the change that Ailo was making to the office environment and me. I knew that with Ailo and what it brings to the table, I’m not as stressed.

I’m now able to not have late nights in the office. I can know in the morning that I won’t have a desk piled high with jobs that need to be done. It’s changed my life.

If this is the future of the industry, I’m in it for the long haul.

What is your advice to people who are skeptical about making the change?

It is scary, any change is scary but I say - Go for it. You won’t regret it.

"Ailo has changed my life"

Carolyn Norman is the Senior Property Manager and BDM at 

. She spoke to us about how Ailo has helped her team attract great staff by changing the way they work.

Some of the challenges when I took over was older software. It was a more paper based business than a cloud based business.

I was attracted to Ailo because it was a one-stop-shop. Everything is in the one system including trust accounting, repairs and maintenance, booking your inspections - All that sort of stuff was all in there.

How has Projects changed the way you work?

The team works differently in Projects because we can set a project for our team admin person to do lease renewals. We used to have a file on her desk with a piece of paper with everything written on there but now that’s all done in Projects. Now it can be assigned to her and I can see where she’s at with it.

If something happened to me, if I was off sick or on a holiday or if anyone else was away it’s all there and it’s easy to see.

Team culture is probably the most important thing in a business in my experience. If you have a stressed team who are feeling negative, customers will pick up on it. It doesn’t matter what you’re saying, you can tell when someone is feeling negatively or unhappy. Ailo has definitely helped with that.

My stress is a lot less because I haven’t had to recreate all these checklists and bits and pieces that I thought I was going to have to do. We’re able to do all our auditing a lot easier.

I’m going away soon for a few weeks and I don’t need to worry that I’m going away during end-of-month. I know that if one of my owners calls about a repair my team can quickly jump on and have a look at the Projects that I have open for my repairs and tell the owner exactly where everything is at.

I found Ailo helped me attract our receptionist who had previously not wanted to be in property management. She had been approached before to be in property management but she didn’t want it.

When I came in I wanted a system that would relieve stress - I’ve actually found the team was quite stressed and no one wants to work in a stressed office, they just don’t!

Once I introduced Ailo my team were excited about the changes, they were excited about Ailo because I was so excited about it! In turn our new receptionist was excited about being part of the growth we were all working towards. The energy from the team attracted her and she came to all the Ailo training days with me and has been instrumental in implementing it in the office.

They had implemented the program ‘Monday’ in the office which is a workflow program and the boss came to me and asked me if we were going to use it and I said “No, we don’t have to. We don’t need it because Ailo does it for us!”

 for over ten years. He thought he had seen everything in property management before Ailo came along and changed the game. He sat down with us to talk about how Ailo has helped his agency.

Just over ten years ago I was offered the opportunity to take on the franchise of Brighton Le Sands with a business partner and I haven’t looked back ever since.

The industry has changed a lot over ten years because technology has just taken leaps and bounds to what we do. Everything that we did when I started almost 30 years ago was a manual process. These days everything is tech-savvy and we’ve had to adapt to all the technology that has come through.

How did you introduce Ailo to your customers?

As we were onboarding Ailo, part of the process was to talk to our high-value customers, our long term clients, and bring them on the journey before we actually migrated and rolled it out. We told them what was coming, we gave them a little sneak peak that something new and exciting was coming so once we rolled it out we could have a conversation about doing it together. We took them on the journey with us and they embraced it really well.
